The Office Coordinator assists the Practice Manager in the day-to-day operational activities of the staff of a single site. Such guidance must be in accordance with current federal, state and local standards, guidelines and regulations that govern the operations of medical facilities and as may be required by the Director of Operations and /or Practice Manager, to ensure that the highest degree of quality of care is maintained. The Office Coordinator shall work directly with the Practice Manager to ensure that the operational and financial objectives of the site are achieved. The Office Coordinator also performs the regular duties of a medical secretary or Medical Assistant as applicable as required. As a recognized patient-centered medical home (PCMH), every employee is responsible for ensuring the successful implementation of quality, comprehensive patient-centered care as a member of the patients care team. By performing the job expectations described below you will be an active member of the care team thereby patients are assured access to team-based, coordinated, comprehensive, quality care. All Job Specific Functions/Performance Expectations of Front Office Assistant: Answers telephone, route calls, schedules appointments, and takes messages. Greets and registers patients. Obtains signed release forms following HIPAA guidelines. Obtains payer source information, obtains verification of income for sliding fee discounts, verifies/documents insurance coverage including Medicaid/Medicare. Accepts patient payments at time services are rendered. Sets up new patient charts/accounts; obtains accurate demographics. Prepares third party insurance forms. Prepares and mails missed appointment cards. Files charts, chart notes, reports. Etc. and maintains charts in compliance with QA standards. Receives pharmacy calls including refill information. Maintains patient reception area in presentable condition. Pulls charts for daily appointments. Requests and responds to requests for medical record information. Routes incoming medical records to provider for review. May be asked to assist in nursing functions of the center as directed by the provider who will supervise those functions. This would be specific for an MA that could potentially be a site coordinator Participates in the corporation's Quality Assurance program. All Job Specific Functions of Medical Assistant (if Applicable): Treat staff, practitioners, visitors, and patients with dignity and respect. Interview patients to include medical history, measure vital signs, performs vision screening, etc. and record information in EHR. Share information gathered from patients with appropriate team members to assist in more comprehensive care of the patient. Assist practitioners in performing examinations as needed. Administer medications per practitioners orders. Administer injections or immunizations per practitioners orders. Sterilize medical equipment and maintain it in good working order. Collect specimens for laboratory and perform routine in-house laboratory work. Prepare specimens for outside laboratory studies. Perform simple wound care. Maintain adequate supplies in exam rooms and ensure exam rooms are clean. Follow clinic guidelines and protocols and participate in making new ones. Prepare and perform paperwork and clerical duties as necessary including answering phones, computer entry, etc. Perform routine diagnostic tests (EKG, etc.) and/or schedules patients for outside diagnostic studies and consultations. Participate in community health and disease prevention activities. Participate in the corporation's Quality Improvement Program. Participate in daily Team Huddles with staff members as required or requested. Participate in staff development programs and promote team cohesiveness. Manages personal and staff clinical inboxes. Ensure timely response to appointment messages and requests via the phone and portal Educate patients regarding PCMH and how the care team can help patients Participate as a member of a patient's care team - within Team Work Ensure patients receive a copy of his/her visit summary Ensure patients leave with an appointment and face no barriers regarding transportation Ensure patients have an identified primary care provider Other duties as may be assigned. Job Specific Functions/Performance Expectations - Office Coordinator Provide onsite problem solving for patient and staff concerns, referring to the Practice Manager as necessary. Insures that financial guidelines and audit trail are followed in the collection and deposit of patient payments. Posts patient accounts on a daily basis, insuring the billing is current and up to date. Handles and accounts for office petty purchasing card. Works with center provider(s) and support team to ensure patient satisfaction. Communicates center concerns to Practice Manager. Reports center activities to Practice Manager.
